Annual Fund and Events Coordinator
Columbia Grammar and Preparatory School is seeking a strategic partner to join an ever-growing and dynamic advancement team. The incoming annual fund and events coordinator will work closely with our Associate Director of Institutional Advancement and our Events Manager in engaging with our parents, working on a series of community events throughout the school year, and coordinating our robust volunteer program. This is an exciting time to join the CGPS advancement team and with this position comes incredible opportunities to work toward historic fundraising initiatives, build new chances for our families to get further involved in our events and programs, and to be part of our continued upward success in terms of parent participation in all aspects of our community. Key Responsibilities
Annual Fund
- Volunteer recruitment, training, and management
- Recruit co-chairs and volunteers over the summer
- Organize volunteer training and prepare volunteer training materials (volunteer handbook, etc.)
- Group or individual volunteer check-ins during the school year
- Provide solicitation and stewardship assignments (contact information and suggested drafts)
- Update volunteers when their assigned families make donations
- Brochure design (coordination with brochure designer)
- Annual Fund kick off (print and digital)
- Working with printer on the mailings (finalize all printed materials and provide segmentation letters)
- Digital kick off (email lists, content, and segmentations)
- Bi-weekly reports for the office and monthly giving reports for the volunteers
- Overall parent participation
- Giving by class
- Total giving
- Giving Tuesday and Giving Weeks (December and May) management
- Create content
- Individual follow up
- Senior Class Gift
- Volunteer recruitment and management
- Provide giving updates and draft communications
- Meetings with divisions heads at the beginning of the year and check-ins during the year
- Pledge collection
Events
- Stewardship Receptions
- Capital Campaign Preview Dinners
- Paperless Post invitation
- Tracking Attendance
- Individual follow up with everyone who didn’t reply
- Attendance updates for the host
- Ordering campaign materials or branded merchandise for the stewardship events (branded cookies, etc.)
- Prep name tags for stewardship receptions
Annual Benefit

Ideal Qualifications:
- Bachelor’s degree
- Three or more years of experience in school or not-for-profit organization(s), in the areas of events, alumni relations, communications, and/or advancement.
- Strong computer skills, including experience with Google Drive and Microsoft Office applications, especially Excel.
- Strong organizational and leadership skills, preferably with experience facilitating volunteer activities.
- Experience Blackbaud/Raiser's Edge or a willingness to learn.
- Experience with CMS (e.g. Finalsite).
- Excellent written and verbal communication skills.
- Experience working in the fundraising field or equivalent.
- Willingness to work nights and weekends as required.
Work Hours
- 8:30 am until 5:00 pm; Monday through Friday
- Effective date: Jul 1, 2023
- Weekends and travel as needed for the position
Compensation
The salary range for this position is $70,000-$90,000 annually. We also offer exceptional benefits and a warm and supportive culture.
